ADM01

Meeting Schedule

  1. The General Meetings will be held six (6) times yearly on the even months.

    1. Annual Nomination of Officers will be held at the August General Meeting.

    2. Annual Election of Officers will be held at the October General Meeting.

  2. The General Meetings will be held at Battalion Fire Stations on a rotating schedule.

  3. The Executive Chiefs Meetings will be held six (6) times yearly on the odd months.

  4. The Executive Chiefs Meetings will be held at a site mutually agreed upon by the Executive Chiefs.

ADM02

New York State Association of Fire Chiefs Annual Convention

  1. The 3rd Battalion will pay the cost of a room and meals for the 3rd Battalion Coordinator to attend the NYSAFC Convention.  In the event the Battalion Coordinator cannot attend the Deputy Battalion Coordinator, if available, may attend in his place.  The attendee will submit appropriate receipts to the Battalion Treasurer.

ADM03

Annual Assessment

  1. Each department will be assessed $250.00 per year according to the following schedule:

    1. $50.00- Training Account

    2. $100.00- Hospitality Room

    3. $100.00- Battalion Parade

*NOTE: The Battalion may, with approval of the Executive Chiefs, levy additional assessments for special events.

ADM04

Training Account

  1. Each year Battalion departments will be accessed  the sum of $50 to be placed in the Treasury under the Chiefs/Training Account.  Expenditures from this account may only be used for training purposes, including refreshments after a Battalion training event.  Expenditures require an approval by a majority vote at a regularly scheduled Battalion Executive Chiefs meeting.

ADM05

Battalion Level Training

  1. The Deputy Battalion Coordinator will be responsible for Battalion level training events. 

  2. Department Training Officers will meet on a schedule established by the Deputy Battalion Coordinator.

  3. The Deputy Battalion Coordinator will be the liaison to the Monroe County Fire Bureau for all training issues.

ADM06

Department Inventories

  1. Inventories will be maintained at the Emergency Communications Department (ECD- 911).  Distribution will be through the Battalion Coordinators, when available.

ADM07

Funeral Policy

  1. In the event of the death of an active member of the 3rd Battalion Line Officers Association, the Association will send flowers.  The Association will send a sympathy card for other deaths, when appropriate.

  2. In the event of a Line of Duty Death within the 3rd Battalion, the Line Officers Association will abide by the wishes of the family and the responsible department.

  3. When appropriate, the 3rd Battalion Line Officers Association will attend Calling Hours and/or a Funeral as a group.  This decision will be made after checking with the Fire Chief and/or family of the deceased.  Departments will be notified by the Battalion Coordinator or Deputy Coordinator.  The group will attend in Full Dress Uniform.

ADM08

Annual Clambake

  1. Each department, according to the schedule, will be responsible for hosting the annual clambake.  The clambake should be held in October with a starting time of 12:00pm .  The host department will publish a schedule for the event and all food will be consumed at the event.

  2. The host department will be responsible for making all invitations according to the ‘Standard Guest List’ (ADM10).

ADM09

Annual Banquet

  1. Each department, according to the schedule, will be responsible for hosting the annual banquet.  The banquet will be held on the last Saturday of February, whenever possible. 

  2. The host department will be responsible for making all invitations according to the ‘Standard Guest List’.

  3. The Battalion Coordinator and Deputy Coordinator will be responsible for acquiring any materials required for presentations at the event.

ADM10

Standard Guest List

  1. There should be a maximum of ten (10) guests (not including 3rd Battalion Coordinators), plus their significant other, invited to the annual banquet.

  2. Annual Banquet tickets for guests and their significant other will be absorbed as an expense of the event.

The standard banquet guest list will be:  

3rd Battalion Coordinator - Car 803
3rd Battalion Deputy Coordinator - Car 813 Jack Murphy
Immediate Past 3rd Battalion Coordinator - When Appropriate The Current Fire Investigators- Cars 831, 832, 8315, 8325
Monroe County Fire Coordinator - Car 800 Monroe County Juvenile Fire Prevention Officer
Monroe County Deputy Fire Coordinator - Car 830 Joel Krane (for as long as he remains active with the 3rd Battalion)
  1. For any at-large guests, the host department may make suggestions that will be voted on and approved by the Battalion Executive Chiefs.

  2. Annual Clambake tickets for the Battalion Coordinator, Deputy Coordinator, Battalion Secretary/Treasurer and Jack Murphy will be absorbed as an expense of the event.  NO other guests will be invited.  

  3. Information, including price, will be sent to those on the current Standard Guest List.  These individuals may, if interested, purchase tickets at the price stated.

ADM11

Outgoing Chiefs Retirement Party

  1. The Battalion will hold a party for outgoing Executive Chiefs on the odd years and will include the outgoing Chiefs from the previous two (2) years.

  2. The committee will be chaired by a current Chief Officer, to be determined at an Executive Chiefs meeting.  The host department will determine a mutually acceptable date for the party, make all arrangements and set the cost of the tickets.

  3. There is no restriction on who may attend.

ADM12

Battalion Parade

  1. On the even years, the parade will be at a location not usually attended by Battalion Departments.  The selection will be made at an Executive Chiefs meeting.

  2. The band expense, with bands rotating through those departments having a band, will then come from the Battalion treasury.  At this parade, the treasury will underwrite the expenditure for the band and the cost of a Family Picnic.

  3. On the even years, the Battalion Coordinator and Deputy Coordinator will, at the reviewing stand, present the host department a donation of $1000.00 ($100.00 per department + $100.00 from the Battalion).

  4. On the odd years, the parade will be at a location that is usually attended by one of the departments with a band.  The selection will be made at an Executive Chiefs meeting.

  5. There will be no donation made on the odd year parade. 

  6. That department, usually attending, will use its band for the 3rd Battalion.  Each department will furnish its own refreshments in order to avoid expending funds from the Battalion treasury. 

  7. There will be no Family Picnic at this parade. 

  8. Each year the Color Guard will consist of American Flags, 3rd Battalion Flag and Department Flags, with department personnel to carry each flag.  The Executive Chiefs will decide who will furnish rifles for the Color Guard.

  9. The 3rd Battalion Banner and Flag will be kept by the Battalion Coordinators. 

  10. The Battalion Banner carriers and Drill Sergeants will be determined by the Executive Chiefs.

  11. The Coordinators and Executive Chiefs Officers will salute when passing through the reviewing area. 

  12. Each department will supply apparatus and, if available, a Chief’s vehicle and/or an antique.

ADM13

Family Picnic

  1. A family picnic will be held in conjunction with the Battalion Parade on the even years.

  2. Following the selection of a parade site, the Chief in charge of the parade will select a committee.

  3. The committee will consist of two (2) Chiefs from other Battalion companies to assist with the planning.
